This Privacy Policy describes how Appkasa LLC ("we," "us," or "our") collects, uses, and shares information when you use Whama ("Whama," the "Service") — an AI-powered assistant that helps you organize, search, and act on business conversations connected through WhatsApp.

By creating an account or using the Service, you agree to this Policy. If you do not agree, please do not use Whama.

1. Who we are

Whama is operated by Appkasa LLC, located at Sharjah Media City (Shams), P.O. Box 515000, Sharjah, United Arab Emirates. For privacy-related questions or requests, contact us at privacy@whama.app or hello@whama.app.

2. Information we collect

Account and profile information

When you register, we collect information you provide such as your name, email address, password (stored in hashed form), timezone, language preferences, and notification settings.

WhatsApp connection data

When you link WhatsApp via QR pairing (the same protocol used by WhatsApp Web), we process metadata and message content from chats you authorize Whama to access. On initial connection, we typically import a limited window of recent one-to-one chats and messages; thereafter, new messages in connected chats are processed in near real time. We do not receive your WhatsApp account password.

Content you create in Whama

This includes tasks, boards, reminders, notes, contact records, knowledge summaries, briefing preferences, and messages you send to Whama's in-app AI assistant ("Ask Whama").

Usage and technical data

We collect log data, device/browser type, IP address, feature usage, API activity (for developer accounts), error reports, and cookies or similar technologies needed to keep you signed in and secure the Service.

Payment information

Paid plans are processed by Stripe. We receive subscription status, plan tier, and billing identifiers from Stripe — not your full card number, which Stripe handles directly.

3. How we use information

We use your information to:

  • Provide, maintain, and improve Whama's features (tasks, insights, search, briefings, calendars, and related tools)
  • Analyze conversations with AI to extract tasks, follow-ups, lead signals, summaries, and suggested actions
  • Authenticate you, enforce plan limits, prevent abuse, and protect the Service
  • Send service-related emails and, if enabled, push notifications (e.g. via Firebase Cloud Messaging)
  • Process subscriptions, trials, and usage-based billing
  • Comply with law and respond to lawful requests

We do not sell your personal information or message content to advertisers or data brokers.

4. AI processing

Whama uses third-party AI providers (including Anthropic) to analyze text and generate summaries, classifications, and recommendations. Message excerpts and relevant context are sent to these providers only as needed to deliver features you use. We configure providers to process data for our instructions and not for their own unrelated product training where such options are available.

AI outputs may be imperfect. You are responsible for reviewing suggestions before acting on them. Whama does not send WhatsApp messages on your behalf unless you explicitly do so yourself outside the Service.

5. WhatsApp and third-party services

WhatsApp / Meta: Whama is not affiliated with WhatsApp Inc. or Meta Platforms, Inc. Your use of WhatsApp remains governed by WhatsApp's own terms and policies. Disconnecting Whama stops new imports; you may also revoke the linked session from your WhatsApp device settings.

Other processors we rely on may include:

  • Stripe — subscription and payment processing
  • Firebase (Google) — analytics and push notifications, where enabled
  • Cloud hosting and database providers that store encrypted application data
  • Email delivery providers for account and security messages

Each third party processes data under its own privacy policy and our contractual safeguards where applicable.

6. Developer API

If you register a developer application, we collect app name, redirect URLs, API keys, webhook endpoints, and usage logs. You must provide accurate privacy and terms URLs for your app where required by our developer program. See our API documentation for scope and data access details.

7. Retention

We retain account and message-derived data while your account is active and as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. When you disconnect WhatsApp or delete your account, we delete or anonymize associated session and message data within a reasonable period, subject to backup retention cycles and legal holds.

8. Security

We use industry-standard measures including encryption in transit (TLS), encryption at rest for stored data, access controls, and monitoring. No method of transmission or storage is completely secure; we cannot guarantee absolute security.

9. International transfers

We may process and store information in the United Arab Emirates and other countries where we or our service providers operate. By using Whama, you consent to transfer to jurisdictions that may have different data-protection laws than your country, with appropriate safeguards where required.

10. Your rights and choices

Depending on your location, you may have the right to:

  • Access, correct, or export personal data we hold about you
  • Delete your account and associated data
  • Object to or restrict certain processing
  • Withdraw consent where processing is consent-based
  • Lodge a complaint with a supervisory authority

You can update profile settings in the app, disconnect WhatsApp from Settings, and request deletion by emailing privacy@whama.app. We will verify your identity before fulfilling sensitive requests.

11. Children

Whama is intended for users 18 years or older (or the age of majority in your jurisdiction). We do not knowingly collect data from children.

12. Changes to this Policy

We may update this Policy from time to time. We will post the revised version on this page and update the "Last updated" date. Material changes may be notified by email or in-app notice where appropriate.
